Privacy Policy

Last updated September 24, 2026

1. Who we are

This Privacy Policy describes how Babylon Linguist Solutions, LLC, doing business as BabylonTranslate ("BabylonTranslate," "we," "us," or "our"), collects, uses, discloses, stores, and protects information when you use our website, request a quote, place an order, communicate with us, or use our translation and related document services.

2. Information we collect

We collect information that you provide directly to us and information generated through your use of the service. Depending on how you use BabylonTranslate, this may include your name, email address, telephone number, billing or shipping information, source and target languages, service selections, order notes, uploaded documents, completed translations, certification files, apostille-related documents, customer support communications, and payment-status information.

Uploaded documents may contain personal, sensitive, legal, academic, immigration, financial, medical, or other information concerning you or third parties. You should submit only information reasonably necessary for the service you request.

We may also collect technical and security information such as IP address, browser or device information, request timestamps, cookies or similar session information, and records used to maintain account, checkout, fraud-prevention, and security functions.

3. How we use information

We may use information to:

  • prepare quotations and calculate or review order pricing;
  • provide translation, certification, notarization, apostille, shipping, and related services;
  • analyze submitted files for page count, word count, language, readability, or other order-processing purposes;
  • communicate about quotes, orders, payments, revisions, delivery, and customer support;
  • process and reconcile payments and prevent duplicate or unauthorized transactions;
  • protect the security and integrity of our website, systems, customers, and business;
  • maintain business, accounting, tax, audit, fraud-prevention, and legal records; and
  • comply with applicable law and enforce our terms and policies.

4. Document analysis, OCR, and automated processing

We may use automated tools, including optical character recognition (OCR), document parsing, language detection, file inspection, or similar technology to assist with quoting, page or word analysis, security, and workflow preparation. Automated analysis may be incomplete or inaccurate and is not treated as a substitute for professional human review where human review is required for the service.

Where a third-party provider is used for a limited processing function, information is provided only as reasonably necessary to perform that function and is subject to the provider's applicable contractual and security obligations.

5. Human translators and operational personnel

Customer documents may be accessed by authorized translators, reviewers, project personnel, or service providers only as reasonably necessary to quote, translate, review, certify, support, or deliver the service. We limit access according to operational need and use confidentiality expectations appropriate to the work being performed.

6. Payments

Payments are processed through third-party payment providers such as Stripe or PayPal. BabylonTranslate may receive transaction identifiers, payment status, amount, currency, and limited billing information needed to associate a payment with an order. We do not store full payment-card numbers or card security codes.

7. Service providers

We may use service providers for website hosting, database and file storage, email delivery, payment processing, document analysis, security, customer communications, shipping, notarization, apostille processing, and other operational functions. These providers receive information only as reasonably necessary to perform services for us.

We do not sell customer documents or personal information as a business model, and we do not provide customer documents to third parties for their independent advertising purposes.

8. Review invitations and customer communications

After an eligible completed or paid order, we may send service-related follow-up messages or use a review platform such as Trustpilot to invite a customer to provide feedback. Information shared for that purpose is limited to what is reasonably necessary to identify the transaction and deliver the invitation.

9. Document retention

Customer source documents, working files, completed translations, certificates, and other order document files are generally retained for up to 90 days after completion so that we can provide support and give customers a reasonable period to retrieve completed files. After that period, document files are scheduled for permanent deletion from active order storage unless a longer period is required by law, necessary to resolve a dispute, chargeback, fraud or security matter, or specifically requested and agreed with the customer.

Order, payment, accounting, tax, fraud-prevention, security, and audit records may be retained separately for longer periods where reasonably necessary for business or legal obligations. Retaining those records does not necessarily require us to retain uploaded document contents.

10. Security

We use technical and operational safeguards intended to protect customer information and restrict access to order documents. No internet transmission, storage system, or security measure can guarantee absolute security. Customers should contact us promptly if they believe an account, order, email, payment link, or document-access link has been compromised.

11. Legal disclosures

We may preserve or disclose information when reasonably necessary to comply with law, regulation, legal process, court order, valid governmental request, enforceable contractual rights, fraud investigation, security investigation, or to protect the rights, property, or safety of BabylonTranslate, our customers, or others.

12. Cookies and session technologies

We may use cookies, browser storage, signed session values, or similar technologies that are necessary to maintain checkout state, order access, account access, security controls, preferences, and website functionality. Some third-party service providers may also use their own technologies when their services are embedded in or connected to our website.

13. Children

Our services are not directed to children for independent purchase. A parent, legal guardian, or other authorized adult may submit documents concerning a minor when doing so is lawful and necessary for the requested translation or document service.

14. Your privacy requests

Subject to applicable law and our need to retain records for legitimate business or legal purposes, you may contact us to request access to, correction of, or deletion of personal information associated with your order. We may require reasonable verification before acting on a request.

15. Changes to this policy

We may update this Privacy Policy as our services, technology, or legal obligations change. The date shown at the top identifies the latest published version. Material changes apply prospectively unless applicable law requires otherwise.

16. Contact

Privacy questions and requests may be submitted through our contact page or by email at support@babylontranslate.com.
